This policy sets out the terms for cancellation, rescheduling, and refunds for services provided by Privilege Agency.
1. Booking Confirmation
A booking is considered confirmed only after:
· written acceptance of the offer (email / WhatsApp), and
· payment of the advance invoice, if required.
The advance payment secures the date, artists, equipment, and assigned crew.
2. Cancellation Policy – Event Services
(artist booking, DJ sets, event production, equipment rental, filming)
2.1. Cancellation more than 30 days before the event
· The advance payment is non-refundable, but
· it may be fully credited for one rescheduling, subject to availability.
2.2. Cancellation 4–14 days before the event
· 50% of the advance is retained.
· The remaining amount may be used for one rescheduling only.
2.3. Cancellation 0–3 days before the event
· 100% of the advance is retained.
· Any additional amounts paid for services already performed or costs already incurred are non-refundable.
3. Rescheduling
· Rescheduling is allowed once only, subject to availability.
· The new date must be confirmed in writing.
· If rescheduling is not possible, the applicable cancellation policy applies.
4. Costs Already Incurred
Regardless of the cancellation timing, the following costs are non-refundable if already incurred:
· transport and accommodation
· artist or subcontractor bookings
· special technical preparations
· video editing / post-production already started
· prepaid rentals or third-party services
These costs may be invoiced separately, based on supporting documents.
5. Overtime & Additional Services
Services provided beyond the initial offer (e.g. overtime, additional equipment) are non-refundable once delivered.
6. Cancellation by Privilege Agency
In exceptional situations (force majeure, serious unavailability, safety issues), Privilege Agency reserves the right to cancel.
In such cases:
· amounts paid for unperformed services will be fully refunded, or
· a comparable alternative solution (rescheduling / artist / similar setup) will be proposed, subject to client approval.
7. Weather Conditions & Outdoor Events
For outdoor events:
· unfavorable weather does not automatically qualify for a refund;
· if the event cannot take place for safety reasons, the parties will attempt rescheduling;
· if rescheduling is not possible, standard cancellation rules apply.
8. Training / DJ School
For training programs:
· sessions cancelled with less than 24 hours’ notice may be considered completed;
· started packages are non-refundable;
· rescheduling is possible only with prior notice.
9. Refund Policy
When refunds apply:
· they are processed within [7–14] business days;
· via the original payment method, where possible;
· without additional fees from Privilege Agency
(any bank processing fees remain the client’s responsibility).
10. Special Situations
Any situation not explicitly covered by this policy will be reviewed individually, in good faith, with the aim of reaching an amicable solution.
