Cancellation & Refund Policy: Privilege Agency

This policy sets out the conditions for cancellation, rescheduling and refund for the services offered by Privilege Agency, as well as the terms applicable to attendance at the events organised by it.

By purchasing a ticket, booking a service or attending an event organised by Privilege Agency, participants declare that they have read, understood and accepted these conditions.

1. Booking confirmation

A booking is considered confirmed only after:

  • acceptance of the offer in writing (email / WhatsApp)
  • payment of the advance, if requested.

The advance has the role of blocking:

  • the event date
  • the artists
  • the equipment
  • the assigned team.

2. Cancellation policy - event services

(applies to artist booking, DJ set, production, rentals, filming, etc.)

2.1 Cancellation more than 30 days before the event

The advance is non-refundable but may be used in full towards a rescheduling, subject to availability.

2.2 Cancellation between 4 and 14 days before

50% of the advance is retained.

The difference may be used for rescheduling, only once.

2.3 Cancellation 0-3 days before

100% of the advance is retained.

Any additional amounts paid for services already delivered or for costs already incurred are non-refundable.

3. Rescheduling

Rescheduling is possible only once, subject to availability.

The new date must be confirmed in writing.

If rescheduling is not possible, the corresponding cancellation policy applies.

4. Costs already incurred

Regardless of the time of cancellation, the following costs are non-refundable if they have already been made:

  • transport and accommodation
  • artist / subcontractor bookings
  • special technical preparations
  • video editing / post-production already started
  • rentals or third-party services paid in advance

These may be invoiced separately, based on supporting documents.

5. Overtime / additional services

Services delivered in addition to the initial offer (e.g. overtime, added equipment) are non-refundable once delivered.

6. Cancellation by Privilege Agency

In exceptional situations (force majeure, severe unavailability, safety issues), Privilege Agency reserves the right to cancel.

In such case:

  • amounts paid for services not delivered will be refunded in full
  • or
  • an alternative solution will be proposed (rescheduling / artist / similar setup), with the client's agreement.

7. Weather conditions / outdoor events

For outdoor events:

  • unfavourable weather does not automatically constitute a reason for refund
  • if delivery is impossible for safety reasons, the parties will attempt rescheduling

If rescheduling is not possible, the standard cancellation rules apply.

8. Training / DJ School

For training programs:

  • sessions cancelled less than 24h in advance may be considered as completed
  • started packages are non-refundable
  • rescheduling is only possible with prior notice.

9. Refund policy

Refunds, when applicable:

  • are processed within 7-14 working days
  • using the same payment method initially used, where possible

Privilege Agency does not charge any additional fees for refunds.

Any bank or payment processor fees may remain at the client's expense.

10. Event ticket policy

This section applies to all tickets sold for events organised by Privilege Agency.

Tickets represent leisure services delivered on a specific date or period.

According to applicable distance-contracts legislation, the right of withdrawal within 14 days does not apply to these services.

Therefore:

  • purchased tickets are non-refundable
  • tickets cannot be unilaterally cancelled by the buyer.

11. Event rescheduling or cancellation

Rescheduling

In case of rescheduling of an event:

tickets remain valid for the new date.

Cancellation

In case of definitive cancellation:

the value of the tickets will be refunded in full.

Payment-processor fees may be non-refundable.

Privilege Agency is not responsible for other costs incurred by participants, such as:

  • transport
  • accommodation
  • third-party services.

12. Ticket resale

Tickets are intended for personal use.

Resale for speculative or commercial purposes is prohibited.

Privilege Agency reserves the right to:

  • cancel tickets obtained through fraudulent means
  • limit the number of tickets per person
  • refuse access to persons involved in unauthorised resale.

In such situations, the value of the tickets is not refunded.

13. Event access

Access to the event is granted exclusively on the basis of a valid ticket and in compliance with the event rules.

The organiser reserves the right to refuse access to persons:

  • under the influence of alcohol
  • with aggressive behaviour
  • violating the event rules
  • endangering the safety of participants.

In such situations, the ticket is non-refundable.

14. Conversion of tickets into access wristbands

At the entrance to the event perimeter, electronic or printed tickets will be scanned and converted into an access wristband applied by the organiser's staff.

The wristband is the unique proof of the right to attend the event.

The participant is required to:

  • wear the wristband at all times
  • not tear or damage it
  • not transfer it to others.

If the wristband:

  • is lost
  • is torn
  • is damaged
  • shows signs of tampering

the organiser reserves the right to limit or refuse the participant's access to the event perimeter.

To re-enter the event perimeter, the participant may be required to purchase a new ticket, subject to availability.

If the participant refuses, they may be excluded from the event perimeter without the right to a refund.

Lost or damaged wristbands are not replaced free of charge.

15. Changes to the artistic program

The organiser makes every effort to honour the announced lineup.

Nevertheless, the organiser reserves the right to change:

  • the participating artists
  • the order of appearances
  • the duration of sets
  • the event program.

These changes do not constitute grounds for refunding tickets.

16. Photo and video recordings

Events may be photographed and filmed.

By attending the event, participants consent to the use of their image in promotional materials of the organiser.

17. Safety and conduct

Participants are required to comply with the event rules and the organisers' instructions.

Any person who disrupts the event may be removed without the right to a refund.

18. Force majeure

The organiser is not responsible for the cancellation or modification of the event as a result of force majeure, including:

  • natural disasters
  • restrictions imposed by authorities
  • pandemics
  • major technical issues.
